Preamble

The University of Illinois at Urbana-Champaign Student Chapter of the American Society for Engineering Education shall be a student-based organization committed to improving and furthering engineering education.

Article I: Name

The name of this organization shall be the University of Illinois at Urbana-Champaign Student Chapter of the American Society for Engineering Education (hereafter referred to as Illinois ASEE).

Article II: Purpose

Illinois ASEE shall focus its efforts toward undergraduate and graduate engineering students.

With regard to undergraduate students, Illinois ASEE shall have the following purposes:

  1. To empower students to participate in improving engineering undergraduate education
  2. To encourage students to consider advanced studies in engineering
  3. To inform students about the options and potential benefits of attending graduate school
  4. To assist students in their preparation for the graduate school admission process

With regard to graduate students, Illinois ASEE shall have the following purposes:

  1. To encourage students to consider academic careers
  2. To enhance the teaching and presentation skills of students
  3. To help students develop the skills needed to establish and lead a research program
  4. To assist students in their searches for academic positions

These purposes shall be carried out in collaboration with other appropriate university organizations.

Article III: Membership

  1. Illinois ASEE "Student" membership shall be open to all current undergraduate and graduate students of the University of Illinois at Urbana-Champaign, with primary emphasis on students in engineering.
  2. Illinois ASEE "Associate" membership shall be open to all faculty and staff at the University of Illinois at Urbana-Champaign, with primary emphasis on those affiliated with engineering. Associate members may not vote or hold office but may have all other privileges of student members.
  3. All Illinois ASEE members are encouraged to be members of the national ASEE organization.
  4. All Illinois ASEE officers and the Faculty Advisor are required to be members of the national ASEE organization.

Article IV: Officers and Faculty Advisor

  1. The President, Vice-President, Secretary, Treasurer, Public Relations Officer, and Membership Officer shall constitute the Executive Board. Additional positions on the Executive Board may be created by the President. Executive Board members shall be Student Members of Illinois ASEE.
  2. The term of office for Executive Board members shall be one year. Executive Board members may resign before the end of the term of office by written notification to the other Executive Board members.
  3. The Faculty Advisor shall be an Associate Member of Illinois ASEE.
  4. The Faculty Advisor shall be selected by majority vote of the Executive Board.
  5. The Faculty Advisor shall have an indefinite term in office.
  6. The Faculty Advisor shall resign by written notification to the President.

Article V: Officer Duties

  1. The duties of the President shall include the following:
    • Preparing meeting agendas and presiding at meetings.
    • Formulating a yearly agenda for the organization, including a list of planned activities and events, based on recommendations from the Executive Board.
    • Ensuring that all activities fall within the organizational goals as stated in the Constitution.
    • Ensuring that all activities and other organizational functions are properly managed under the guidelines of the Constitution and Bylaws and the policies of the University of Illinois at Urbana-Champaign.
    • Creating permanent or temporary positions to assist in performing the duties of the office.
    • Creating committees as needed.
  2. The duties of the Vice-President shall include the following:
    • Assuming the duties of President in his/her absence.
    • Acting as a liaison between the Executive Board and all committees.
    • Registering Illinois ASEE as a Registered Student Organization of the University of Illinois at Urbana-Champaign.
    • Obtaining room reservations for Illinois ASEE meetings and events.
    • Preparing an annual report to inform the ASEE national organization and the Illinois ASEE members of the accomplishments and future planned activities.
  3. The duties of the Secretary shall include the following:
    • Taking meeting minutes during executive and general meetings.
    • Keeping a record of who attends Illinois ASEE meetings and events.
    • Recording events and activities performed by the organization. A historian's file shall be maintained and include speakers, topics, and copies of presentation slides when possible.
  4. The duties of the Treasurer shall include the following:
    • Handling financial transactions, including managing all bank accounts, depositing funds, making expenditures, and recording all transactions in a legal manner.
    • Keeping a record of the student chapter funds.
    • Overseeing fund raising activities, including requesting donations from appropriate University sources.
    • Developing, with the Executive Board, a budget plan for the upcoming year.
    • Compiling and presenting an annual financial report to the Executive Board.
  5. The duties of the Public Relations Officer shall include the following:
    • Developing and maintaining the Illinois ASEE web page.
    • Distributing announcements to Illinois ASEE members and others.
    • Advertising Illinois ASEE meetings and events (e-mail notification, fliers, etc.).
    • Maintaining contact with other student organizations to inform them of Illinois ASEE meetings and events relevant to them.
    • Fulfilling the duties of liaison to the Engineering Council.
  6. The duties of the Membership Officer shall include the following:
    • Coordinating recruitment of new members, including distribution of organizational information to interested students, staff, and faculty.
    • Processing membership forms.
    • Keeping a current record of all Illinois ASEE members.
    • Maintaining contact with the Associate Members of Illinois ASEE.
  7. The Faculty Advisor shall serve as a liaison to the University and help in the transition period between officers. The Faculty Adviser will be invited to and notified of all ASEE meetings and events.

Article VI: Amendments

Proposed amendments shall be submitted in writing to the President. After a two-thirds majority vote of approval from the Executive Board, the amendment will be presented to the members for vote at a meeting. Proposed amendments shall become effective after a two-thirds majority vote of the members present at the meeting.

Bylaws

  1. The Executive Board members shall be elected by a majority vote of the members present at the election meeting near the end of each Spring semester. Quorum at officer election meetings requires eight members. Absentee ballots shall not be allowed. If no candidate for an office receives a majority of the votes cast, then the top two candidates shall be placed on a second ballot for that office.
  2. All elections shall be conducted by secret written ballot. For officer elections, the ballots shall be tabulated by three Illinois ASEE members who are not candidates for office in that election.
  3. An Executive Board member whose dereliction of duty adversely affects the operation of the organization may be removed from office. A written petition stating the reasons for removal and signed by at least two Executive Board members must be submitted to the Executive Board. After a two-thirds majority vote of approval from the Executive Board, the petition will be presented to the members for vote at a meeting. A two-thirds majority vote of members present at the meeting and the approval of the Faculty Advisor is required to remove the officer from office.
  4. A vacancy in the Presidency shall be filled by the Vice-President. Other vacancies on the Executive Board shall be filled based on a majority vote of the remaining members of the Executive Board.
